General Terms & Conditions
Please read these terms and conditions carefully as you will accept this terms with your booking. These terms and conditions apply to all services and tours offered by RasRobeenTours in Ethiopia.
Bookings and terms of payment:
Contracts and agreements will be valid following to RasRobeenTours confirmation of booking by e-mail, fax, telephone or any express letter. In the confirmation letter, the client will receive further information about the tour and instructions for payment.
At the time of confirmation a deposit of 40% of the total costs is requested via bank transfer. The remaining amount of the total costs is due to be paid 30 days before arrival or commencement of the tour. Deposits need to secure certain reservations such as flight, transportation or hotel allotments and may in some cases be invoiced with a separate due date. The client is responsible for the cost of international transfer fees and needs to add these to the payments.
Reservations are only guaranteed with payment:
We reserve the right to cancel any arrangements without notification if complete payments have not been received by the due date.
Cancellations by the client:
Cancellations by the client(s) have to be made via email or letter. If the client cancels the tour agreement, RasRobeenTours is entitled to require appropriate compensation for all travel services provided and any expenses accrued whose amount is in line with the value of the tour price. RasRobeenTours is not offering travel insurances and the client is advised to take out travel cancellation insurance by himself. The cancellation fees will be charged as lump sum adjusted according to the client’s time of cancellation:
- up to the 30 days prior to commencement of tour 40 %
- from the 29th day to the 15th day prior to commencement of tour 60 %
- from the 14th day to the 7th day prior to commencement of tour 80 %
- from the 6th day prior to commencement of travel until start of the tour 90 %
If after commencement of the tour, the trip has to be stopped in an early stage because of personal circumstances of the client, RasRobeenTours cannot guarantee any refund but will do its best to refund expenses, which are not yet paid.
Time of notice of cancellation is counted upon local time receipt of written notification on working days only (see opening hours).
Changes after confirmation:
The Company reserves the right to alter any route or arrangement or to cancel the operation of any scheduled tour should the conditions necessitate. The right is also reserved to decline, accept or retain any person as a member of any tour at any time. An equitable amount will be refunded accordingly.
In case of any changes requested by the client(s) after confirmation of the booking, RasRobeenTours reserves the right to charge the appropriate costs of these changes. All changes requested would be subject to confirmation from the third parties and RasRobeenTours would not be responsible if the change request cannot be met due to third party. No changes will be accepted between 15 days prior to commencement of the tour. Changes within this period will be treated as cancellation and are subject to cancellation fees as mentioned in Terms and Conditions.
Services and Prices:
Included services will be explained on the contract or itineraries of RasRobeenTours.
Tour prices can be provided upon request. However prices are not fixed but depend on infrastructure prices, hotel-, salary- and fuel prices and exchange rates.
Responsibility and liability:
RasRobeenTours will conduct every tour as agreed with every individual client to the best of their ability towards full satisfaction of the client(s). If despite this the client has any complain during the tour, the RasRobeenTours office shall be contacted as soon as possible to solve any problem.
RasRobeenTours cannot be held responsible for cancellations in case of unrest, war or natural calamities and over-bookings, changes or delays made by third parties such as hotels, airlines, transport companies or other travel agencies. Although we only make use of safe and well-insured cars and every possible care is taken to safeguard our clients and their properties during the entire tour, RasRobeenTours cannot be held responsible for any loss or harm of personal goods, consequences of sickness, injury, accidents or calamities.
All extra costs resulting from above mentioned situations are for the client’s own account. RasRobeenTours will use its best efforts to assist as an agent for our clients in dealing with third parties and in cases of need such as theft, sickness, injuries or others.
Only the laws of Ethiopia govern RasRobeenTours’ liability to passengers transported in its own vehicles and all claims are subject to the jurisdiction of the court of Ethiopia in which the cause of affection arises.
Responsibility of the client:
The client(s) is responsible for having proper travel documents, such as a valid passport, a proper visa, and necessary passport pictures. The traveler is further responsible to have proper and adequate travel insurance for the duration of the entire trip. Information about necessary vaccination prior to departure can be found at the ministry of health of your country.
Periods of notification, exclusion of claims, expiry:
All claims for contractual remedies and damages have to be notified by the Client within one month following the contractual end of the tour under RasRobeenTours official address which has been given to the Client with the individual tour confirmation. After the expiry of the one month time period the Client can submit a claim only if he was prevented from asserting it without any fault.
Notwithstanding the aforementioned time period, claims for the damage, the delay or the loss of travel luggage related to flights are to be notified in order to claim damages pursuant to international treaties within seven days in case of the loss of luggage and within 21 days in case of the delay of luggage after its handing over. Similarly, the loss of, the damage or the misdirection of travel luggage is not to be notified to RasRobeenTours, if contractual remedies are to be claimed.
Contractual claims by Clients arising from the tour agreement will expire in six months in the case of property or financial damage, if the Client ‘s damage has neither been caused by the breach of a duty of care by RasRobeenTours himself, by gross negligence nor by the breach of a duty of care performed by its agent or its legal representative with willful intent or by gross negligence. The expiry period will begin on the day following the contractual end of the tour. Claims arising from unlawful acts and all claims for compensation for physical injury will be subject to the statutory expiry period.
The assignment of claims against RasRobeenTours to third persons is prohibited. This shall not apply to any assignments among family members.
Accounts and personal information (privacy):
Any personal data and information that is submitted by the client(s) are only used for the agreement of the contract between the client(s) and RasRobeenTours. Personal information gathered during account registration is not shared with any third party. The client’s personal information will not be view-able to the public except when the client hold the copyright to any photo displayed on the website or the client provides comments or testimonials for the purpose of sharing with others.
